So, What Exactly is AI?

AI tools like ChatGPT are powered by clever programming and massive data centres. They “learn” from how we interact with them and use the internet to process and provide information. But here’s the thing—they don’t have a brain. AI can’t tell the difference between fact and fiction, or good and bad. That’s where we come in. It’s up to us to ask smart questions and make sense of the answers.

There’s also an environmental side to all this tech. AI tools use a lot of energy, rely on rare minerals, and even consume large amounts of water. That’s why we need to use them thoughtfully and find ways to balance their benefits with their impact on the planet.

When used with intention, AI in education can make studying less stressful and more efficient. It’s not about replacing effort but about working smarter. Here’s how it helps:

There are so many places to go to find study resources. I shared my favourites a few years back at https://greentutors.co.uk/services-students/. But sometimes the choice is part of the problem – where do we start?

There’s a world of AI tools out there to help students (and tutors!) stay on top of things. Here are some of the best:

For Studying and Learning

  • Quizlet: Perfect for creating flashcards and study plans using spaced repetition.
  • Photomath: Snap a photo of a maths problem, and it’ll solve it with step-by-step explanations.
  • Grammarly: A writing assistant that polishes grammar and suggests improvements.
  • Khan Academy (Khanmigo): Like having a personal tutor for maths and science.
  • Brainly: Post a question and get answers from the community, supported by AI.

For Staying Organised

  • Notion AI: Organises your notes, builds study plans, and even sets reminders.
  • Evernote: Helps you manage tasks and search through notes with AI assistance.
  • Focusmate: Pairs you with a virtual study buddy for accountability.
  • Forest App: Gamifies focus—plant virtual trees as you complete tasks.

Teaching Kids to Use AI Responsibly

While AI is an amazing tool, it’s not a shortcut. Using it to cheat defeats the whole point of learning, and, let’s face it, it’s usually pretty obvious when a student has copied something straight from ChatGPT!

More importantly, AI isn’t always right. It doesn’t think like we do and can repeat mistakes or spread dodgy info. That’s why critical thinking is so important. Teach your kids to ask thoughtful questions and double-check answers. And remember, OpenAI recommends that kids under 13 shouldn’t use ChatGPT without parental consent, and teens should be supervised. This is a great chance for you to join in, explore AI together, and encourage your child’s creativity.

The value of networking in growing your business

If there’s one thing I’ve learned, its that no one achieves anything by themselves. Elvis had Colonel Tom Parker, Beyonce had Destiny’s Child, and Lewis Hamilton had Anthony Hamilton.

Now I’m not saying we’re about to start winning any golden awards (although you might) but growing a business is still pretty epic and it takes more than a few helping hands along the way.

My business started back in 2012 when I was still working full time in a laboratory role and renovating my home. I have had the support of several business coaches along the way, as well as managers in my employment, my tutor team, virtual assistants, my family, and various contractors. But the really aligned and consistent growth happened when I made a concerted effort to grow my network and meet other small business owners on the same journey as me.

Now that I’m on this side of it, it seems so obvious. But for a long time I didn’t know anyone else in business. I found all of my answers from Google, from watching what other people did, or from spending money on training. And so I didn’t have anyone to bounce ideas around with over a cuppa, or to be really honest with about how hard it is to grow a business from scratch.

There were many times when I considered packing it all in and just sticking with paid 9-5 employment (the horror). When inevitable roadblocks hit, I looked to those I could see in business from the outside, and their apparently effortless success made me feel like I was wasting my time.

But here’s the ‘shocker’ – it isn’t easy for anyone. When we have others in our corner who not only understand our challenges but understand the solutions they give us the boost we need to deal with those roadblocks. It doesn’t get easier. We get stronger when we’re not trying to do it all alone.

And what’s more, connecting to others in the business world is a great addition to your marketing strategy. These folks have an engaged audience of your target market? Why wouldn’t we want to connect with them.

The internet has opened up a whole world of connectivity that we can dive right into. But while there’s a party for everyone, we don’t want to be part of everyone’s party.

Tutors Need Tutors

Of course I lean on my own community within Facebook. These folks have been by my side since March 2020 and they give me a daily pep boost. Initially launched to support classroom teachers with the transition to online working, the group has grown massively since 2020, and the members are always ready to support each other. The ethos that it was started with has spread through the community, so it is extremely rare that we experience any negativity in there.

There’s now a library of resources around tech that you can use for online lessons, filling your calendar with customers, and business advice from guest experts I’ve worked with in the past. If you’re a tutor, there’s something in there for you.

Love Tutoring Community

The Love Tutoring Community is the internets educator love-in. Not only is it bursting with positivity and encouragement for all of its members, but there are always wonderful things being organised by the LTC team that you won’t want to miss out on.

And even better, they organise in person events so that you can meet up with other educators in real life. Do you remember those days?

They offer masses of value to their free community and to their members. If you are an educator, or involved in the world of education, you will want to get involved.

Kimba’s Online Growth Club

I’ve been working with Kimba since very early on in my business journey, when she ran a course on using Instagram to grow your business. Kimba’s training and delivery method suited my scientific mind. She’s organised, honest, and very motivated to add value.

Since then, Kimba has established the Online Growth Club (KOGc), with a library of training resources and an online community all designed to support small business owners in growing their business.

Kimba always adds a fun element to her courses and trainings, and it was no surprise when she set up her gamification business. The networking events within the Instagram course and the Online Growth Club were the inspiration for the fun sessions at the Love Tutoring Festival. Kimba knows how to bring the right level of fun, inspiration, and focus.

Employment Agencies and EAS Compliance

What you need to know for EAS Compliance

What is EAS/BEIS?

EAS enforcement changes have meant that tuition business working with multiple tutors fall under the category of employment businesses. Agencies must update their contracts, policies, and processes accordingly for EAS Compliance.

If you’ve missed this, or your not sure of the details, you can read more on the very helpful Law Hound blogs.

EAS stands for Employment Agencies Standards.

BEIS is the Government Department for Business, Energy & Industrial Strategy.

In 2021 they published expectations of tutor agencies employing tutors to comply with one of two specific business models in order to ensure that contracted tutors were being treated fairly.

The two business models for EAS compliance are:

  • Tutor Employment Agency
  • Tutor Employment Business

This caused a lot of concern amongst agency owners (myself included). While we were already treating their team fairly, we had to navigate legal jargon to learn what was required for EAS compliance, or potentially close our doors. Legal documents have a tendency to make my eyes water!

With some investigation, team work, and a lot of support from Law Hound we were able to navigate the changes to EAS compliance with minimal disruption.

For the majority of businesses this doesn’t mean much change, but perhaps more specific documentation to be prepared for inspections.

But understandably, with anything legal, it is a conversation that can inspire anxiety.

What are the model requirements for EAS compliance?

Tutor Employment Agency

Tutor employment agencies collect a fee for connecting a tutor with a client. They can not charge tutors for providing them with work, and they can not collect payment from the client on behalf of the tutor.

For tutor agencies wishing to work by this model, TutorCruncher set up Stripe Connect accounts to allow them to invoice the client and split the payment at the point of collection. Payments are sent directly to the tutor from TutorCruncher  and the agency remains compliant.

You do not have to use TutorCruncher to be compliant, but you must not set up a Stripe Connect account yourself as you would still be managing the payment to the tutor in this case.

Tutor Employment Business

Tutor employment businesses employ their tutors and give them the associated employment benefits. 

The tutors can be self-employed under this model, but in this case the agency can not direct them in how to deliver the tuition.

You can provide training, resources, and software, and filter applicants before employment. But self-employed tutors must be allowed to self-manage.

By this model you can collect payment on behalf of the tutors. Tutors must invoice you for payment and this must be documented.

Frequently asked questions

I don't tutor in the UK. Does this apply to me?

This legislation applies to the UK Government, so is not applicable if you work entirely outside of the UK. If you employ tutors in the UK, you will need to ensure that you are compliant with UK Employment Law.

Does this apply to me if I am under the VAT threshold?

Yes, the enforcement is related to collecting payment on behalf of other tutors. Your income threshold doesn’t impact this.

Am I covered if I use Tutorcruncher?

TutorCruncher very quickly responded to the changes by introducing a Stripe Connect integration to allow the payments from clients to be split at the point of payment, meaning that tutor agencies could be compliant. You still need to make sure that the agreements and processes you have with tutors are compliant.

Does this apply to referrals between tutors?

This doesn’t apply if you are not taking payment for referrals. You can still keep helping out your colleagues and I’m sure it will be welcomed 😊

Do I have to pay VAT on the fee I collect to pay tutors?

Yes. You will need to pay VAT on your entire revenue if this is over the VAT threshold. This cost has resulted in many businesses having to change their business model in order to remain affordable. I would recommend speaking with your accountant if you think this applies to you. There may be a more cost effective model for you.

Business Planning for the new year

As we come to the end of the year, thoughts naturally fall to plans for the new year. This post-Christmas week is one of my favourite times of year for that very reason. There are no expectations, schools are closed, students are on holiday, and my time is entirely my own. It’s the perfect time for some thinking and planning.

In this blog I share my annual planning process for my tutor business, and some resources to help you with your annual tutor business plan.

What is your financial goal?

When it comes down to it, we all need to pay the bills. Tutors aren’t generally in it ‘for the money’ as there are many more affluent online business models, but there’s no shame in having a financial goal.

Do you know much money you need to earn this year in order to comfortably pay your bills, and take yourself on holiday, plus whatever else you want to do? Spend a few minutes jotting it all down, and perhaps check your monthly bank statements to work out how much you’re spending each month.

Don’t forget to make a note of your regular business expenses here. They’re often overlooked when it’s one off software costs, or a stationary top up. But note them all down because they all add up to wondering where your money went.

Bear in mind also that costs tend to grow as businesses grow, so if you’re making big plans this year you may need to upgrade your software or bring in new staff to manage it. This will also add up to more spending, so make a note of it.

When you have your total income goal here from all of these elements, we need to consider tax. I tend to add a third of this entire amount on again to account for tax. Of course it varies, but that’s a reasonable rough estimate.

How many hours are you hoping to work?

If you were to generate this income by one to one tuition, would this be possible? How many lessons are you prepared to sell each week? The chances are this would be more than you are hoping to work each week. Especially when you consider planning, admin, marketing, and development time.

In order to achieve this financial goal, do you need to add in some passive income options?

Do you work with others, as an employment business? How many hours do you need to sell through this business to meet your goals?

Spending the time setting out a plan to include all of these elements will give you a much better chance of achieving that financial goal. You may need to set aside some time up front to develop resources to sell, but that time investment will lead to a stable source of income down the road, and so is well worthwhile.

Will you need to seek out help to achieve this? It is best to factor that in early too, as you may need to budget for it. If you are recruiting tutors, that can take some time too, so start early and set up a rigorous training plan for them.

Prioritise your projects

You may well have lots of ideas for ways to boost your income in 2023. How do you know where to start?

I start by sorting all of my ideas from most passive to least passive. Passive options require the least time for money earned. This is a valuable way to secure regular income without committing yourself to working lots of additional hours. It makes sense to start with these and give your income a boost, so you have more flexibility to invest in future plans.

Are there any costs associated? Will you need to invest in software or manpower for this project? What will it cost? Factor that into your expenses to make sure they don’t make a dent in your income. This can also help you with setting the price for your product or service, as that can be difficult with passive income projects.

What income goals can you predict achieving with this project? Once you’ve set a price, how many sales will you need to make to achieve your goal? When you break that down monthly and/or weekly does it feel achievable? It must not be overwhelming, so you may need to make adjustments. The idea is to make progress and not to burn yourself out.

Break it down into high level steps

When you have picked your first project, consider the tasks you have to schedule to deliver it. What timeline can you deliver them on? Consider these at a high level initially, to plan them into your timeline. You can add the details later when it comes time to deliver them.

How much time are you planning to work each week? Are you planning to take a holiday? Don’t overcommit your time. Factor this all into your calculations so that you don’t fall behind schedule, or take your laptop on holiday with you!

With all of this considered, do you have time to fit these in? If not, perhaps you need to stretch out your timeline, or seek support to deliver it.

Consider your wellbeing

With all of these elements you need to consider your wellbeing. Your plans should make time for work, rest, and play each week. Life is not all about working and you will soon lose interest in your goals if you are not also supporting your health, and spending time with your loved ones.

If you’re not already planning a holiday, perhaps you should schedule something for 2023.

Do you have family commitments? Are you hoping to attend the school play, or football matches at the weekend? Schedule them into your diary and make work fit around them. Last minute panic may push you into decisions that you’ll later regret. Schedules help to prevent this.
